We are an independent business funding introducer, not a lender. We introduce businesses to third-party finance providers and card payment providers. For the purposes of UK data protection law we are the “controller” of the personal information we collect about you.

Information we collect

Most of our clients are businesses, but information about sole traders, partners, directors and the people who contact us is personal data, so this policy applies to it.

Business funding enquiries

  • The type of funding you are interested in and the amount you need
  • Your business type, annual turnover and trading details
  • Company name, your name, phone number and email address
  • Any further information you give us during calls, emails or WhatsApp messages, such as bank statements, accounts or details of directors and guarantors

Card machine quote enquiries

  • What you need (a new terminal, switching provider, extra terminals or online payments)
  • Estimated monthly card takings, terminal type and number of terminals
  • Business type, current payment provider and business postcode
  • Business name, your name, phone number and email address

Other information

  • Records of our calls, emails and WhatsApp conversations with you
  • Technical information such as your IP address, browser and device, and how you use our website (only collected by analytics cookies if you accept them; see our Cookie Policy)
  • Information we receive from others, such as finance and payment providers you apply to through us, Companies House and other public registers, and fraud-prevention or credit reference agencies used by providers

We do not ask for special category data (such as health information). Please do not send it to us unless we specifically ask.

Who we share it with

We never sell your personal information. We share it only where needed for the purposes above:

  • Finance providers on our panel (lenders, invoice finance, merchant cash advance and asset finance providers) so they can consider your application. They will carry out their own checks, which may include credit and fraud checks, and will become controllers of your information under their own privacy notices
  • Card payment providers and their resellers so they can prepare a quote and set up your service
  • Service providers who help us run the business, such as our website host [host name], our form-processing service FormSubmit (which delivers website enquiries to our inbox), our email provider [email provider] and Google (Google Analytics, only if you accept analytics cookies)
  • WhatsApp (Meta) if you choose to contact us on WhatsApp
  • Professional advisers, such as our accountants, lawyers, insurers and compliance consultants
  • Regulators and authorities, such as the Financial Conduct Authority, the Information Commissioner’s Office, HMRC or the police, where required by law

We will tell you which provider we propose to introduce you to before we pass on your details for an application.

International transfers

Some of our service providers (for example Google, FormSubmit and Meta) may process personal information outside the UK. Where that happens we make sure appropriate safeguards are in place, such as UK adequacy regulations, the UK Extension to the EU–US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum.

How long we keep it

We keep personal information only for as long as we need it:

  • Enquiries that do not go ahead: 12 months from our last contact with you
  • Clients we introduce to a provider: 6 years after our relationship ends, to meet regulatory and legal record-keeping requirements
  • Analytics data in Google Analytics: 14 months
  • Call recordings and messages: in line with the periods above

After this, we securely delete or anonymise it.

Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal information we hold about you
  • Ask us to correct information that is wrong or incomplete
  • Ask us to delete your information in certain circumstances
  • Ask us to restrict how we use your information
  • Object to us using your information based on legitimate interests, and to direct marketing at any time
  • Ask us to transfer information you gave us to another organisation (data portability)
  • Withdraw your consent at any time, where we rely on consent

To use any of these rights, email hello@oneorbitfunding.uk. We will respond within one month. There is normally no charge.

Automated decisions and credit checks

We do not make decisions about you using only automated means. Finance providers you apply to may use credit scoring and automated checks as part of their own decision-making; their privacy notices explain how. Making an enquiry with us does not affect your credit score.

How we protect your information

Our website uses an encrypted HTTPS connection, and our enquiry forms send your details over that secure connection. We limit access to personal information to people who need it, use secure, access-controlled systems, and require our service providers to protect your information too.

Cookies

We use essential cookies to make our website work and, only if you agree, Google Analytics cookies to understand how it is used. You can change your choice at any time. See our Cookie Policy for details.

Complaints

If you are unhappy with how we have handled your information, please contact us first at complaints@oneorbitfunding.uk so we can try to put it right.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
